Job Title:        Administrative Assistant - Contract

Length:           Feb 1 st , 2018 – Jan 31 st , 2019
Reports To:     Artistic Director

Location:        Free Flow Dance Theatre - Saskatoon

Pay:    $7,020.00 – approx. $15.00/hr, hours vary, works out to approx. 39 hours/mo

Free Flow is a leading edge Canadian Dance Company known for its innovative and risk-taking modern choreography.

The driving philosophy behind the company's projects is that dance is fun and should be accessible to people of all ages and interests.

Founded in 1995, the company has performed in venues all over Canada including Kitchener/Waterloo, Ottawa, Guelph, Cambridge, Brampton, Toronto, Winnipeg, Regina, North Battleford, Saskatoon, Edmonton, Vancouver and Victoria. To bring their art to an audience that may not otherwise seek out dance, much of their work has been performed in non-traditional venues, Fringe Theatre Festivals as well as in traditional theatres.

Free Flow is a not for profit charitable contemporary dance company funded in part by the Saskatchewan Arts Board, City of Saskatoon, Canada Arts Council and other similar groups.  We host numerous events annually including the Works in Progress New Dance Series, Back Alley Antics, a Community Dance Workshop program and an International Dance Day Celebration.

The Company is based at the Free Flow Dance Centre 224 25th St. W. Saskatoon SK.


General Responsibilities

  • Helps to make decisions about admin, business issues, fund raising, donor relations, publicity and marketing.

  • Works in partnership with the Artistic Director

  • Assists in management of any extra office and administrative staff incl. marketing, sales, interns, volunteers and more.

  • Can be required for box office or as front of house supervisor for performances and events.

  • General office duties, photocopies, mailing, sorting, filing, shredding

  • Does payroll invoices and other invoices as needed, Sorts receipts into file book for book keeper along with bank statements

  • Does Bank Deposits and Mailing

  • Aids in running outside errands, shopping for programming and general item pick-ups. ( Must have own vehicle. Mileage is part of contract.)

  • Deliveries – bring paperwork, products, and other items to business partners.

  • Supplies – provide transportation before events to purchase food, beverages, and other supplies as needed.

  • Helps with preparation and attends all fund-raising events and performances.

  • Keeps files in order on the office lap top

  • Generates special letters or e-invites for VIPs, promotions and fundraising

  • Administration and booking agent for the community workshop programs

  • Solicits participant support letters for the company programs for future grants etc.

  • Responsible for preparing the info into a binder for the book keeper for the annual year end including charitable donation info from Canada Helps site.

  • Updates google docs for the company as work is completed or new information is generated.

  • Completes tasks requested by the Board of Directors.

  • Event management – help coordinate volunteers, help with set up and clean-up of events.

  • Basic bookkeeping – perform cash counts after events,

  • Administers the Body Worker Program – works with both therapists and company members

Work shared with the Artistic Director:

  • Works on Audience Development and outreach for the company and tracks attendance at events.

  • Attends Networking events when requested to help promote the company.

  • Helps to complete grant follow up reports with the A.D. when requested

  • Organization and storage of promotional and archival materials

  • Helps to develop marketing materials such as online posters/graphics and solicitation letters for sponsors.

  • Aids in solicitation and acquisition of good and services for the company and its fund-raising events.

  • Promotes events through online social media – keeps a list of passwords and accounts

  • Assists in person at all fund raisers.

  • Provides all required information to printers for promotional materials, adjusts formatting if needed, tracks progress and does pick-ups when required.

  • Aids in distribution of promotional materials and posters.

  • Writes annual general report (not including financials) based on information from annual tracking

  • Attends the W.I.P. New Dance Series 2 times per year.


Qualifications

  • Experience as an office assistant, personal assistant, event organizer or volunteer.

  • Experience handling cash. Bondable

  • Basic bookkeeping and filing ability.

  • Knowledge of Microsoft office, Photoshop, Excel

  • Professional correspondence writing and phone skills


Other job requirements:

  • Ability to work independently and over email.

  • Weekly reports on progress of action items to the Artistic Director via google docs

  • Available occasional evenings and weekends for special events. Weekday availability during day time hours for office work and errands.

  • Must have a valid driver’s license.

  • Must have regular access to a reliable vehicle.

  • Ability to creatively solve problems – with a limited budget, sometimes we need to get creative!

Body Workers needed for New Program
Jackie Latendresse the artistic director of the Saskatoon based professional contemporary dance company (www.freeflowdance.com) is seeking body workers to participate in a new program. Free Flow is a charitable not for profit org and is currently compiling a list of body workers, massage, physio, osteo etc who live in Saskatoon who may be interested in working with professional dancers with the Free Flow Dance Theatre Company for a couple of hours every 3-4 months.

Fundraising Coordinator Position - Free Flow Dance Theatre
Free Flow Dance Theatre is a not for profit charitable organization. The company is seeking a fundraising coordinator to help out with its events and performances throughout the year. This position is perfect for someone who is passionate about the arts and looking for volunteer experience that is meaningful and fun. An ideal fundraising coordinator should have the following skills:
* Works well with others and the public.
* Is fluent in spoken and written English
* Has time and energy to spend developing relationships with potential donors and attending events to build these relationships and spread the word about Free Flow Dance Theatre
* Is self-motivated and driven.
* Enjoys working with dancers and other artists.
* Is a good problem solver.
* Has basic conflict/resolution skills.
* Has a flexible schedule and is available on evenings and weekends
* Good organizational skills.
The fundraising coordinator will work closely with other Free Flow Dance Theatre staff and volunteers to organize fundraising events for the organization. They will also be asked to attend community events throughout the year to represent Free Flow Dance Theatre and build relationships with other community organizations and philanthropists.

  • Has a basic understanding of how fund raisers and performances are run.

  • Has time and energy to spend recruiting volunteers and finding the correct volunteer position for each candidate.

The Volunteer coordinator will help to recruit volunteers for the following types of positions:

  • Concession or bartending

  • Food preparation

  • Door sales/ticketed events or by donation

  • Merchandise sales

  • Set up and clean up

  • Graphic design

  • Poster distribution

  • Marketing and publicity help

  • Back stage helpers

  • Costume and set design help
  • Computer and tech support
  • Drivers with a large vehicle or trunk for shopping trips and transporting items/span>

Free Flow Dance Theatre sets their event and performance schedule for the entire season (Jan 1- Dec 31) well in advance so most dates are announced very early. We do occasionally have extra events that come up and we will notify the volunteer coordinator as soon as the information becomes available.
